Overview
The Respite conversions report shows how effectively respite stays are turning into permanent placements. It lives under Reports > Occupancy > Respite conversions and answers: of the respite stays that ended in a period, how many became permanent residents?
What it shows
Headline tiles
Respite bookings ended - respite bookings closed in the selected period, counted by their end date. Cancelled bookings are not included.
Converted to permanent - respite bookings that ended in the period and were converted to a permanent booking.
Conversion rate - converted to permanent as a share of respite bookings ended.
Each tile shows a comparison with the previous equivalent period. If a target is set, the conversion rate tile also shows the target and how far above or below it you are.

Conversions over time chart - bars for the number of conversions in each period and a line for the conversion rate, plotted across the selected time range.
When targets are set, a target rate line is overlaid so you can see where you are tracking ahead of or behind plan. You can group by day, week or month.
Location breakdown table - one row per home, showing:
Respite bookings ended
Converted to permanent
Conversion rate

Conversion rate vs. target
Where it is
Reports → Occupancy → Respite conversions.
It sits alongside the other occupancy reports (Occupancy rates, Move-ins and move-outs, Length of stay, Weekly fees, Funded care applications).
How to use it
Open Reports > Occupancy > Respite conversions.
Set the time range at the top of the page. The maximum range is 365 days. The default is the last 30 days.
Use the location and category selector to narrow to specific homes or location categories. Leaving it empty includes every care home you have access to. Filtering by locations and filtering by location categories are mutually exclusive.
Optionally apply filters — Care type and Funding type — to narrow the respite bookings included. If your workspace has booking attribution enabled, you can also filter by Attribution source to see how respite stays from a particular channel convert.
Read the headline tiles for the counts, the rate, and the trend versus the previous period.
Use the chart to see how conversions and the conversion rate are moving over time. Switch the grouping between day, week and month using the picker on the chart.
Scroll to the location breakdown table to compare homes. Sort by any column or export the table for further analysis.
Exporting — the chart can be saved as a PNG and the location table can be exported as a CSV. The CSV includes the visible columns in their current sort order.
How it works
What counts as a respite booking ended
A respite booking is counted as ended when it has been closed and its end date falls inside the selected time range. Bookings are counted by their end date, not their start date. The report only includes care home locations.
The report excludes:
Cancelled bookings — a cancellation is not a stay.
Permanent and day-care bookings.
Respite bookings that are still active (no end date yet).
What counts as a conversion
A respite booking counts as converted when it was converted using the Convert to permanent action in Found. That action closes the respite booking and creates a new permanent booking that is linked back to the respite stay.
See Converting a respite booking to a permanent booking for the steps.
Setting respite conversion targets
You can set a respite conversion rate target for each care home, so the report and dashboard show whether you are tracking ahead of or behind plan.
Go to Settings → Workspace → Targets → Respite conversion rate and click Manage.
Select the year you want to plan for using the year switcher.
Click a location to open its editor.
Choose the cadence - Monthly or Weekly.
Enter the target conversion rate (as a percentage) for each period. Use the fill down action to apply one value to every month or week.
Save your changes.
Targets work the same way as Occupancy targets: one target per location per year, monthly or weekly, following the workspace’s calendar or financial year setting.
Dashboard widget
A Respite conversions widget is available on the care home dashboard. It shows conversions and the conversion rate for the last 30 days, compared with the 30 days before, and the target where one is set. Clicking the widget header opens the breakdown panel, which lists ended, converted, rate and target for each location.
The widget is hidden by default. To add it:
Click Customise on the dashboard.
Find Respite conversions in the list and toggle it on.
Click Save.
Clicking a figure on the widget takes you to the Respite conversions report on the Last 30 days preset, so the numbers match.
Frequently asked questions
Q: Where do I find the respite conversions report? A: Go to Reports > Occupancy > Respite conversions in the main navigation.
Q: Why is my conversion rate showing as “–”? A: No respite bookings ended in the selected period for the locations and filters you have applied. There is nothing to calculate a rate from.
Q: Which date is a conversion counted on? A: The end date of the respite booking, which is the same as the start date of the permanent booking created by the conversion.
Q: Why don’t these conversions appear as move-outs in the Move-ins & move-outs report? A: The two reports are designed to work together. Move-ins & move-outs deliberately excludes respite-to-permanent conversions from both move-ins and move-outs, so a resident who converts is not double-counted as leaving and arriving. This report is where those conversions are counted.
Q: I can’t see the Respite conversions widget on my dashboard. How do I add it? A: The widget is hidden by default. Click Customise on the dashboard, toggle on Respite conversions, and save.
Q: Why do the widget numbers differ from the report? A: The widget always shows the last 30 days. If the report is set to a different time range, the figures will differ. Click through from the widget to open the report on the matching 30-day preset.
Q: Can I export the data? A: Yes. The chart exports as a PNG and the location breakdown table exports as a CSV, including the target and variance columns.
