Manage invoice recipients

Overview
The Manage invoice recipients feature lets you add booking contacts as additional recipients on a subscription's invoices, alongside the funder. Each recipient receives their own copy of every invoice by email — there's no CC; each is sent a separate email so delivery tracking and timeline entries are kept individually for each person.
This is useful when, for example, a family member, advocate or finance contact needs a copy of an invoice in addition to the funder who is paying.
Where to find it
The action lives on a billing contract subscription (a "contribution") for a booking:
From the main navigation, go to Operations → Bookings.
Open the booking you want to work on.
Inside the booking, open the Funding tab.
Select the Subscriptions sub-tab.
Open the row's action menu (the three-dot menu at the end of the row).
Select Manage invoice recipients.
A side panel opens showing the funder (read-only) and a multi-select for additional recipients.
How it works
The funder is always shown at the top of the panel and is read-only — they are always sent the invoice and cannot be removed or added as an additional recipient.
The Additional recipients selector lists every email address on every contact linked to the booking (excluding the funder's primary email).
A contact can have multiple email addresses — each email is a separate selectable entry.
Pick the recipients you want and select Save. The change is applied immediately to future invoices generated for that subscription.
Each selected recipient receives their own email with the invoice when invoices are sent. They appear individually in delivery tracking and on the invoice timeline.
If there are no booking contacts available to add, the panel shows: "There are no booking contacts available to add as additional recipients." Add or link booking contacts to the booking first.
Rules
The action is only available when all of the following are true:
The Invoice recipients feature is enabled for your workspace.
You have the Manage invoice recipients permission (edit on Invoice recipients).
The subscription is not cancelled.
The booking is not locked.
The subscription's delivery method is Email (or shared mailbox, in the backend rules). Recipients cannot be set on subscriptions delivered by post.
The subscription uses an Individual invoice template (invoice structure). Recipients aren't supported on grouped/consolidated invoice templates.
Additional validation enforced on save:
A recipient must be a contact linked to the booking — you can't add an arbitrary email.
The funder's primary email cannot be added as an additional recipient (they already receive the invoice).
Frequently asked questions
Q: Where do I manage invoice recipients? A: Open the booking, find the subscription in the contributions table, open the row's three-dot menu, and select Manage invoice recipients.
Q: Can I remove the funder from receiving the invoice? A: No. The funder always receives the invoice and is shown as read-only at the top of the panel.
Q: Can I add any email address as a recipient? A: No. Recipients must be an email address belonging to a contact that is linked to the booking. If the person isn't a booking contact yet, add them as a booking contact first.
Q: Will recipients be CC'd on the same email as the funder? A: No. Each recipient — including the funder — receives their own separate email. This gives each person individual delivery tracking and timeline entries.
Q: Why can't I see the Manage invoice recipients action on a subscription? A: The action only appears when the subscription is active (not cancelled), the booking is unlocked, the delivery method is Email, and the invoice template is Individual. You also need the Manage invoice recipients permission and the feature flag enabled.
Q: Does this apply to invoices that have already been sent? A: No. Changes apply to invoices going forward. Already-sent invoices are not re-sent automatically.
Q: Can I set different recipients per invoice? A: No. Recipients are set at the subscription level and apply to every invoice generated for that subscription until you change them.
Q: What happens if a contact has multiple email addresses? A: Each email address appears as its own selectable entry. You can choose which specific email of that contact should receive invoices.
Q: Does the booking being locked stop me from changing recipients? A: Yes. While the booking is locked, the action is disabled. Unlock the booking first.
Q: Is this available for all invoice templates? A: Only for templates with the Individual invoice structure. Grouped/consolidated templates do not support additional recipients.
Q: Who can manage invoice recipients? A: Any user whose role has the Manage invoice recipients permission switched on, in a workspace where the Invoice recipients feature is enabled.
