Creating organisations and enabling them as funders (Pro billing module)

Overview

Organisations in Found represent external entities & funding bodies such as businesses, NHS trusts, local authorities, charities, and other bodies that your team works with. Once created, an organisation can be enabled as a funder — giving it a funding profile that allows it to be linked to bookings and used within the Pro billing module for invoicing, billing contracts, and subscriptions.

This article explains how to create a new organisation and how to enable it as a funder.


Creating an organisation

  1. Navigate to Contacts > Organisations from the main menu.

  2. Select Add organisation.

  3. In the side panel that opens, search for an existing managed organisation by name. If a match is found, select it — the name and category will be pre-filled automatically.

  4. If no match exists, choose Add new and enter the organisation name and category manually.

  5. Select Add organisation to save.

Organisation categories

When creating a new organisation, you must assign a category. Available options are:

  • Business (local)

  • Business (national)

  • Charity

  • Community group

  • Education

  • Faith

  • GP

  • Local authority

  • NHS board / health board

  • NHS integrated care board

  • NHS trust

  • Private healthcare

  • Other

Note: NHS integrated care board organisations have additional fields — Org code and Payables code


Enabling an organisation as a funder

Enabling an organisation as a funder creates a funding profile for that organisation. This is a one-way action — once enabled, the funding profile cannot be removed.

Steps to enable funding

  1. Open the organisation record from Contacts > Organisations.

  2. Select Enable funding (top-right of the page).

  3. In the dialog that appears, optionally complete the following fields:

    • Reference number — a funder reference for this organisation (e.g. BNE123). This must be unique across your workspace.

    • Email address — if the organisation has more than one email address on record, select which one to associate with the funding profile. If only one email exists, it is used automatically.

    • Address — if the organisation has more than one address on record, select which one to associate with the funding profile. If only one address exists, it is used automatically.

  4. Select Enable funding to confirm.

Once enabled, the organisation's detail page will display additional tabs depending on your workspace's billing configuration:

  • Funders

  • Billing contracts

  • Subscriptions

  • Invoices


Frequently asked questions

Q: Can I remove a funding profile once it has been created? A: No. Once funding is enabled for an organisation, the funding profile cannot be removed. Ensure you are enabling funding on the correct organisation before confirming.

Q: What happens if I enter a reference number that already exists? A: Found will display a "Duplicate reference" error on the reference number field. You will need to enter a unique reference number before the funding profile can be created.

Q: Can I enable a contact (individual person) as a funder as well? A: Yes. Found supports both contact funders and organisation funders. The process for enabling a contact as a funder is separate and can be done from the booking profile

Q: Do I need to add an email address or address before enabling funding? A: No, both fields are optional. If the organisation has exactly one email address or address on record, Found will assign it automatically. If the organisation has multiple, you will be prompted to select which one to associate with the funding profile.

Q: What billing tabs appear after enabling funding? A: The tabs that appear depend on the features enabled for your workspace and your permissions. Possible tabs include Funders, Billing contracts, Subscriptions, and Invoices. If you expect a tab to be visible but it is not, check your workspace's feature settings or your role permissions.

Q: Who can enable an organisation as a funder? A: Users with the "Enable organisation funders" permission. Your administrator can manage this via role permissions in workspace settings.
