Ending billing contract templates

Overview
Billing contract templates define how billing is configured for a group of residents or funder bookings. Over time, a template may no longer be needed for new subscriptions — for example, when a funding arrangement changes, a contract type is retired, or a new template replaces an existing one.
Ending a billing contract template marks it as closed for new use. It prevents new subscriptions from being created against it, while leaving all existing subscriptions fully intact and unaffected.
What happens when you end a template
The template's status changes from Active to Ended
The template is no longer available for new subscriptions
All existing subscriptions remain active — ending a template does not affect subscriptions already linked to it, and invoices will continue to generate as normal
The template is not deleted — it stays in the system for historical reference and reporting
You can reopen an ended template at any time if it needs to be made available again
How to end a billing contract template
Navigate to Operations > Billing contracts
Open the billing contract template you want to end
Select the actions menu (top right of the template detail page)
Select End template
Review the confirmation message and select End template to confirm
How to reopen a billing contract template
If you need to make an ended template available for new subscriptions again:
Open the ended billing contract template
Select the actions menu
Select Reopen template
Confirm by selecting Reopen template
The template will return to Active status and become available for new subscriptions.
Frequently asked questions
Q: Will ending a template affect residents or existing subscriptions?
A: No. Ending a template only prevents new subscriptions from being created against it. All existing subscriptions linked to the template will continue to function normally, and invoices will continue to generate as usual.
Q: Is the template deleted when I end it?
A: No. Ended templates remain in Found for historical reference. You can view them at any time by filtering the billing contracts list by the Ended status.
Q: Can I undo ending a template?
A: Yes. You can reopen an ended template at any time using the Reopen template option in the actions menu. Once reopened, the template returns to Active status and is available for new subscriptions.
Q: What is the difference between Active and Ended status?
A: An Active template is available for new subscriptions to be created against it. An Ended template is closed to new subscriptions but remains visible in the system and does not affect any existing subscriptions.
Q: What happens to draft invoices when a template is ended? A: Ending a template has no impact on draft invoices. Any invoices already generated — whether draft or finalised — are not affected by the template being ended.
