Editing adjustments

Overview

Billing adjustments are one-off charges or credits applied against a subscription to correct billing discrepancies.

Only manual adjustments can be edited. System-generated adjustments (such as backdating, catch-up, or overpayment adjustments created automatically by Found) are locked and cannot be modified by users.

An adjustment can only be edited while it has a Scheduled status. Once an adjustment has been raised to an invoice (Completed) or cancelled, it becomes read-only.

What you can edit

When the edit panel opens, you can update two fields:

Enter the value in pounds and select whether it is a debit (charge) or credit (refund)

The subscription the adjustment belongs to is displayed for reference but cannot be changed.

Saving changes

Click Save to apply your changes. The adjustment remains in Scheduled status after saving and can still be raised to an invoice or cancelled. Click Cancel to close the panel without saving.


Frequently asked questions

Q: Why can't I see the edit button on an adjustment? A: The edit button only appears on adjustments that are both manual in type and in Scheduled status. If the adjustment was created automatically by Found (for example, a backdating or catch-up adjustment), or if it has already been invoiced or cancelled, the edit option will not be shown.

Q: Can I change the subscription an adjustment is linked to? A: No. The subscription is set when the adjustment is created and cannot be changed during an edit. If the adjustment is linked to the wrong subscription, cancel it and create a new one.

Q: What happens to an adjustment after I edit it? A: The adjustment remains in Scheduled status. Your changes are saved immediately and the updated description and amount will be used the next time the adjustment is raised to an invoice.

Q: Can I edit an adjustment that has already been raised to an invoice? A: No. Once an adjustment has been included in an invoice, its status changes to Completed and it becomes read-only. You cannot edit it at that point.

Q: Can I edit a cancelled adjustment? A: No. Cancelled adjustments are locked and cannot be updated. If you need to make a correction, create a new manual adjustment.

Q: What is the difference between a debit and a credit adjustment? A: A debit adjustment adds a charge to the subscription. A credit adjustment reduces the amount owed. Both are entered as positive values in the amount field — you select the direction (debit or credit) separately using the toggle in the amount field.

Q: How long can the description be? A: The description field accepts up to 200 characters.

Q: Who can edit adjustments? A: Users with the edit permission on the Invoicing feature can update adjustments. If you do not have this permission, speak to your workspace administrator.
