Creating manual adjustments

Overview
Manual adjustments allow you to apply one-off charges or credits to a billing subscription. They are used to correct billing discrepancies or reconcile differences between what was invoiced and what should have been invoiced.
Creating a manual adjustment
Go to Operations in the main navigation.
Select bookings and find the relevant residents booking
Navigate to the funding tab and Adjustments
Click Create adjustment.
A side panel opens. Complete the following fields:
Field | Description |
Billing subscription | Select the subscription this adjustment applies to. |
Description | A short explanation of why the adjustment is being made (up to 200 characters, required). |
Direction | Toggle between Debit (charge) and Credit (refund or reduction). |
Amount | Enter the value in pounds (£). |
Click Create. The adjustment is saved with a status of Scheduled.
Adjustment statuses
Status | Meaning |
Scheduled | The adjustment has been created but not yet invoiced. It can still be edited or cancelled. |
Complete | The adjustment has been raised on an invoice. It can no longer be edited or cancelled. |
Cancelled | The adjustment has been cancelled and will not appear on any invoice. This action cannot be undone. |
Editing a manual adjustment
You can edit the description and amount of an adjustment while its status is Scheduled.
Find the adjustment in the table.
Click the edit icon on the row.
Update the description or amount.
Click Save.
Only manual adjustments can be edited. Adjustments created automatically by the system (for example, backdating corrections or cancellation adjustments) cannot be changed.
Cancelling a manual adjustment
Cancelling removes the adjustment from the billing cycle. This is permanent and cannot be undone.
Find the adjustment in the table.
Click the cancel icon on the row.
Confirm the action in the dialogue that appears.
The adjustment status will change to Cancelled and no further actions will be available on it.
Raising an invoice from an adjustment
Once you are ready to bill for a scheduled adjustment:
Click the raise invoice icon on the row.
The create manual invoice dialogue opens with the adjustment pre-populated as a line item.
Add any additional line items if needed, then submit.
The adjustment status will automatically update to Complete once the invoice is created.
Frequently asked questions

Q: Can I create a manual adjustment for any subscription? A: Yes, as long as you have the Create permission for Invoicing and the subscription exists and has not been deleted.

A credit adjustment reduces what is owed (a negative amount). You toggle between the two using the direction control when creating or editing an adjustment.
Q: Can I edit an adjustment after it has been invoiced? A: No. Once an adjustment has been raised on an invoice its status becomes Complete and it can no longer be edited or cancelled. If you need to correct it, raise a new adjustment in the opposite direction.
Q: Can I cancel an adjustment after it has been invoiced? A: No. Cancellation is only available for adjustments with a Scheduled status. Complete adjustments cannot be cancelled.
Q: Is cancellation reversible? A: No. Once an adjustment is cancelled it cannot be reinstated. If you cancelled an adjustment in error, create a new one with the same details.
Q: Who created or last modified an adjustment? A: The billing adjustments table includes Created and Updated columns, each showing the date and the name of the user who made the change.
Q: Why can I not edit or cancel some adjustments? A: Only manual adjustments can be edited or cancelled. Adjustments generated automatically by the system — such as backdating corrections, start date catch-ups, or cancellation adjustments — are read-only and cannot be changed by users.
Q: Can I filter or search the adjustments list? A: Yes. You can filter by status, location, organisation, subscription, and date range. You can also search by description, subscription reference, funder name, service user name, or booking reference.
Q: Can I raise an invoice for more than one adjustment at a time? A: When you raise an invoice from an adjustment, the create manual invoice dialogue opens with that adjustment pre-populated. You can add additional line items within that dialogue before submitting, allowing you to group multiple charges on a single invoice.
