How to set up your invoice branding

Overview

Invoice branding lets you control how your invoices look when they are sent to funders. You can configure your logo, address, contact details, and bank information — and assign different branding to specific locations, or set a single default for your whole workspace.

Invoice branding is managed in Settings → Billing → Invoice branding.


Step-by-step guide

Step 1: Open invoice branding settings

  1. In the main navigation, go to Settings.

  2. Select Billing from the sidebar.

  3. Click Invoice branding.


Step 2: Create a new branding configuration

Click the Add button. A form will open where you can fill in the details below.


Step 3: Fill in the details

Name
Give this configuration a unique name (e.g. "Main office" or "London venue"). This is for internal reference only and will not appear on the invoice.

Locations
Choose which locations this branding applies to:

  • Select specific locations to use this branding only for those venues.

  • Select all locations to make this the workspace default, used for any location that does not have its own branding.

Logo (optional)
Upload your logo as a PNG or JPEG file. The maximum file size is 2 MB. A preview will appear once uploaded.


Step 4: Enter your address

Fill in your business address. Address line 1, city, and postcode are required. Postcode must be in a valid UK format (e.g. SW1A 1AA).


Step 5: Enter contact information

Provide a phone number and email address. These will appear on the invoice.


Step 6: Enter your bank details

These details appear on invoices so clients know where to send payment.

  • Bank name

  • Account number — must be exactly 8 digits

  • Sort code — 6 digits in the format XX-XX-XX


Step 7: Add optional information

  • VAT number (optional) — appears on the invoice if provided

  • Footer text (optional) — up to 450 characters, displayed in the footer of the invoice (e.g. payment terms, company registration number)


Step 8: Preview your invoice

Once you have saved your branding, you can preview how it will look:

  1. Click on the branding configuration in the list.

  2. Select the Preview tab.

  3. A sample invoice will be generated using your branding. You can also download it as a PDF.


Frequently asked questions

Q: Can I have different branding for different locations?
A: Yes. When creating a branding configuration, select the specific locations it should apply to. Each location can only be assigned to one branding configuration at a time.

Q: What is a workspace default?
A: If you select all locations when setting up a branding configuration, it becomes the workspace default. This means it will be used for any location that does not have its own specific branding assigned.

Q: What file types are accepted for the logo?
A: PNG and JPEG files only. The file must be 2 MB or smaller.

Q: Can I update my branding after it has been created?
A: Yes. Click on the branding configuration in the list and edit any of the fields. The save button will only become active once you have made a change.

Q: Where does the footer text appear?
A: The footer text appears at the bottom of the invoice. It is a good place to include payment terms, your company registration number, or any other standard notice you want on every invoice.

Q: Who can manage invoice branding?
A: Users need the relevant invoicing permissions in Found to view, create, or edit branding configurations. If you cannot see invoice branding in your settings, speak to your workspace administrator about your access level.

Q: How do I check what the invoice will look like before sending?
A: After saving your branding configuration, open it and go to the Preview tab. This generates a sample invoice using your branding, which you can also download as a PDF.
