Bulk adjusting billing contract subscription contributions

Overview
It allows admins and managers to update contribution amounts across multiple billing contract subscriptions in a single operation, rather than editing each subscription individually.
A billing contract defines the rules for how a resident's care fees are charged — including the contribution unit (daily, weekly, or annual), accepted payment methods, and funding sources. Each billing contract can have multiple subscriptions, where each subscription links a specific funder to a booking. A contribution is the charge amount effective from a given date on that subscription.
When you bulk adjust contributions, Found cancels any existing contributions at the chosen effective date and creates new ones with your specified amounts. If the effective date falls within a period that has already been billed, Found automatically calculates backdating adjustments to reconcile the difference.
Step-by-step guide
Step 1 — Open the bulk adjustment panel
Navigate to the billing contracts area and select Manage billing contracts from the actions menu. Choose Adjust contributions to open the bulk contribution adjustment panel.
Step 2 — Set filters
In the filters section, you must provide:
Effective date — the date from which the new contribution amounts apply
Location(s) — one or more locations to pull subscriptions from
Optional filters are available to narrow results further, such as subscription status or funding source. Once a date and location are selected, the filters section collapses automatically and the subscriptions table loads.
Step 3 — Review and edit subscriptions
The subscriptions table groups results by contribution unit across three tabs: Weekly, Daily, and Annual. Each row shows the current contribution amount and allows you to enter a new amount inline.
Use the adjustment controls to apply a change across all subscriptions in the current tab at once:
New amount — sets a fixed amount for all subscriptions
Increase — adds a percentage or fixed amount to all current contributions
Decrease — reduces all current contributions by a percentage or fixed amount
You can also edit individual subscription amounts directly in the table. Use Reset to clear changes for the current tab.
Step 4 — Preview changes
Select Save changes (enabled once at least one change is entered) to open the preview dialog. This shows:
Each subscription being adjusted, with the old and new amounts
The period the backdating adjustment covers
Any linked contract adjustments (for parent subscriptions with deduction relationships)
A total adjustment amount across all changes
Step 5 — Choose a follow-up action (optional)
Before confirming, you can optionally select a follow-up action:
Schedule adjustments — queues the adjustments for the next billing period
Create invoices now — immediately generates invoices, requiring you to set an issue date and due date
You can also add notes that will be recorded against all new contributions created in this adjustment.
Step 6 — Confirm
Select Confirm to apply all changes. Found will:
Cancel any existing contributions at the effective date for each selected subscription
Create new contributions with the updated amounts
Calculate and record any backdating adjustments
Create invoices if that follow-up action was selected
A success notification confirms how many subscriptions were adjusted, and how many invoices were created (if applicable).
Validation rules
Found enforces the following rules when processing a bulk adjustment. If any subscription fails validation, no changes are saved — the entire operation is rolled back.

Frequently asked questions
Q: What happens if I select an effective date in the past? A: Found will create the new contribution from that past date and calculate a backdating adjustment to account for the difference between the old and new amounts for the period already elapsed. You can preview this adjustment amount before confirming.
Q: Can I adjust subscriptions across multiple locations at once? A: Yes. The location filter supports selecting multiple locations, and all matching subscriptions from each location will appear in the table.
Q: What does it mean when a contribution is "cancelled"? A: When you apply a bulk adjustment on an effective date, Found cancels any existing contributions recorded for that exact date before creating the new ones. This preserves the audit trail of what was charged previously.
Q: Why are some subscriptions not appearing in the table? A: Subscriptions may not appear if they are cancelled, if their start or end date does not include the selected effective date, or if they do not match the additional filters applied.
Q: Can staff members run bulk adjustments? A: No. Only admins and managers have access to the bulk contribution adjustment feature.
Q: What are linked contract adjustments shown in the preview? A: Some subscriptions are linked to a parent subscription in a deduction relationship. When you adjust a child subscription, Found also calculates the corresponding adjustment to the parent (linked) subscription. These are shown separately in the preview so you can see the full financial impact.
Q: Do I have to create invoices immediately? A: No. The follow-up action is optional. You can confirm the adjustment without selecting any follow-up action, or choose to schedule the adjustments for the next billing period instead.
Q: What happens if one subscription in my selection fails validation? A: The entire bulk adjustment is rejected — Found will not apply any changes. You will need to resolve the issue with the failing subscription (for example, remove it from your selection or adjust the effective date) before retrying.
Q: Is there a limit to how many subscriptions I can adjust at once? A: There is no documented limit in the system. However, the preview dialog will show all adjustments before you confirm, so you can review the scope of the change.
Q: Where are notes stored? A: Notes entered in the preview dialog are saved against every new contribution record created by the adjustment. They serve as a reason or explanation for the change.
