Overview
The personal allowance module is part of Found's Pro billing feature set. It allows your team to record and manage the personal finances of residents — tracking deposits, expenses, and withdrawals against each individual's allowance.
Occasionally, a debit transaction (an expense or withdrawal) may be recorded in error or need to be reversed. The credit action allows you to cancel the effect of a debit by creating an equal and opposite transaction, restoring the resident's balance.
This article explains how to apply a credit to a personal allowance transaction and what to expect when you do.
What is a credit?
A credit is a reversal transaction. When you credit a debit entry, Found automatically creates a new transaction with the same amount in the opposite direction — offsetting the original debit and restoring the resident's running balance.
For example, if a withdrawal of £20.00 was recorded in error, crediting it creates a new £20.00 positive transaction, bringing the balance back to where it was.
Credits can only be applied to debit transactions (expenses and withdrawals). Deposits cannot be credited.
How to credit a personal allowance transaction
Navigate to Operations > Personal allowance > Transactions.
Locate the debit transaction you want to reverse. You can use the search bar or date filters to find it.
Click the actions menu (the three-dot icon) on the transaction row.
Select Credit.
A confirmation prompt will appear — review the details and confirm.
Found will create a new credit transaction linked to the original. Both entries will remain visible in the transaction list so there is a full audit trail.
What happens after a credit is applied
A new transaction is created with a positive amount equal to the original debit.
The new transaction is dated today.
The description is prefixed with "Credit:" followed by the original description and transaction reference (e.g.
Credit: Pharmacy (PA#42)).The original transaction is marked as reversed and will show this status in the transaction list.
The resident's running balance is updated immediately to reflect the reversal.
Both transactions appear in exported CSV reports and generated PDF statements.
Who can apply credits
Applying a credit requires the create permission on the personal allowance module. If the credit option does not appear in your actions menu, contact your system administrator to check your role permissions.

Q: Can I credit a deposit? A: No. Credits can only be applied to debit transactions — expenses and withdrawals. Deposits are positive transactions and cannot be reversed using this action.
Q: Can the same transaction be credited more than once? A: No. Once a transaction has been credited, it is marked as reversed and the credit option is no longer available for that entry. Each debit can only be credited once.
Q: Will the original transaction be deleted when I apply a credit? A: No. The original transaction is never deleted. Both the original debit and the new credit transaction remain in the transaction list, providing a complete audit trail.
Q: What date is used for the credit transaction? A: The credit transaction is always dated today — the date on which you apply the credit. It is not back-dated to match the original transaction.
Q: Does crediting a transaction affect the resident's running balance? A: Yes. The credit is added to the running balance calculation, effectively restoring the balance to what it was before the original debit was recorded.
Q: What if I applied a credit by mistake? A: There is no automatic undo for a credit once it has been applied. Contact your system administrator, who may be able to assist with correcting the ledger by recording a manual adjustment transaction.
Q: Will the credit appear on generated PDF statements? A: Yes. Both the original reversed transaction and the credit transaction are included in statements, each shown with their respective amounts and dates.
Q: Do I need to select a payment method or expense type when crediting? A: No. Credits are system-generated reversal entries — you do not need to fill in a form. Found automatically populates the details based on the original transaction.
Q: Is the personal allowance module available on all Found accounts? A: The personal allowance feature is part of the Pro billing module and must be enabled for your workspace. If you cannot see it under Operations, contact your account administrator or the Found support team.
