Locking a booking

Overview
Once a booking is locked, the following fields become read-only:
Start date
End date
Closure dates
Locking is intended to protect billing integrity after a booking has been finalised and closed — ensuring that date changes cannot be made once invoicing activity begins.
How to lock a booking
Open the booking you want to lock. The booking must already be closed.
Select the actions menu (top-right of the booking).
Select Lock booking.
A confirmation dialog will appear:
Locking this booking will prevent any changes to the start date, end date, and closure dates.
Select Lock booking to confirm.
A success notification will appear: Booking has been locked.
The booking timeline will also record who locked the booking and when.
How to unlock a booking
Open the locked booking.
Select the actions menu.
Select Unlock booking.
Confirm in the dialog:
Unlocking this booking will allow changes to the start date, end date, and closure dates.
Select Unlock booking to confirm.
A success notification will appear: Booking has been unlocked.
The timeline records who unlocked the booking and when, preserving the full audit trail.
What happens when a booking is locked

Frequently asked questions
Q: Who can lock or unlock a booking? A: Admins and managers only. Staff users do not have permission to perform this action.
Q: Can I lock a booking that is still active? A: No. A booking must be in a closed status before it can be locked.
Q: What does locking actually prevent? A: It prevents edits to the start date, end date, and closure dates. The lock icon and tooltip will indicate that dates cannot be edited on a locked booking.
Q: Is locking available to all workspaces? A: No. Locking is part of the invoicing feature within the Pro billing module. Your workspace must have this feature enabled. Contact your Found account manager if you are unsure whether your workspace has access.
Q: Can I tell if a booking is locked without opening the actions menu? A: Yes. The booking will display a Locked indicator, and the edit closure option in the actions menu will be visibly disabled.
Q: Is there an audit trail for lock and unlock actions? A: Yes. Both locking and unlocking are recorded in the booking timeline, showing who performed the action and when.
Q: Can I unlock a booking to make date changes and then re-lock it? A: Yes. Admins and managers can unlock a booking, make the necessary changes, and lock it again. Each lock and unlock event is recorded in the timeline.
Q: What happens to the lock record when I unlock a booking? A: The lock record is preserved for audit purposes — it is not deleted. The record is updated with who unlocked it and the timestamp, maintaining a complete history.
